Patent Litigation Legal Assistant

Overview
TalentoHC has partnered with a premier, full-service commercial law firm with a significant East Coast presence, seeking a motivated and experienced Patent Litigation Legal Assistant. This role is critical to the firm’s Intellectual Property practice, ensuring that complex legal documents and patent filings are produced with the highest level of accuracy and detail. This hybrid position is based in the New York City office and reports to the Office Manager.
Responsibilities

Assist attorneys through all phases of patent litigation and prosecution, including the preparation of USPTO filings, Information Disclosure Statements (IDS), and prior art searches.

Create, edit, and revise complex legal documents adhering to Firm styles. Extensive use of Litera and CompareDocs for document conversion, “cleanup,” and version control.

Create and edit Tables of Authorities (TOA) and Tables of Contents (TOC) using Best Authority. Perform hyperlinking for briefs via Lexis and Westlaw and manage PDF bookmarking.

Organize exhibits, prepare trial binders, and coordinate complex logistics for court appearances, depositions, and arbitrations.

Execute electronic filings (E-filing) through Federal, State, and Bankruptcy court systems. Handle the service of documents and maintain legal files in meticulous chronological order.

Manage attorney Outlook calendars, coordinate travel/restaurant reservations, and handle daily administrative tasks. Enter and edit attorney time entries through Aderant and Intapp and process expense reports.

Review dockets for upcoming deadlines, conduct electronic searches for file histories, and provide references for case law and patents.
Requirements

Minimum of 5 years of law firm experience specifically within Patent and Litigation practices.

Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams), iManage Document Management System, and Nuance/Kofax PDF.

Strong familiarity with Litera, CompareDocs, Best Authority, Intapp Time/Billstream, Aderant, and/or BigHand Dictation.

Exceptional attention to detail and a tidy approach to file management. Proven ability to perform under pressure in a fast-paced environment while maintaining a professional demeanor.

Holds a current Notary Public commission or is willing to acquire one within the first 6 months of employment.

Ability to work independently on a high volume of work and a willingness to occasionally arrive early or stay late to meet critical trial or filing deadlines.

Education: High School Diploma required; Bachelor’s or Associate degree is preferred.
Base Salary: $80,000 – $110,000 (Commensurate with Experience)
