Executive Assistant

Overview
Talento has partnered with a premier entertainment, media, and technology law firm—with leading practices spanning film, television, digital media, video gaming, technology, advertising, intellectual property, and litigation—to find a proactive Executive Assistant to support the Supervising Partner of their LA office. This role encompasses comprehensive support for the firm’s fast-paced entertainment group as well as office management, marketing initiatives, and firm-wide projects. This is not a traditional legal assistant position; instead, it uniquely combines the executive function and client-facing responsibilities found at top talent agencies, management companies, and studios with the organizational excellence required at leading law firms. The ideal candidate will be motivated, responsive, and personable—someone who brings positive energy and professionalism to every interaction while seamlessly managing the demanding schedules and high expectations of prominent clients, executives, and counsel in this dynamic, fast-paced environment.
Responsibilities
- Manage complex calendars including meetings, calls, and events with talent, producers, studio executives, and counsel across multiple time zones
- Track and organize client matters, contracts, and deal documents while providing attorney briefings and summaries as needed
- Serve as primary client contact, maintaining professionalism and discretion with high-profile entertainment industry figures
- Handle confidential correspondence, document preparation, and coordinate execution of multi-party agreements
- Prepare client engagement agreements and assist with time entry, billing, and expense reporting
- Coordinate domestic and international travel with detailed agendas and briefing materials
- Support Supervising Partner with office-wide initiatives including marketing, recruiting, events, and administrative projects
- Help coordinate LA office events, industry sponsorships, and speaking engagements while managing office functions and New York headquarters liaison
Requirements
- Bachelor’s degree required
- Minimum 3 years supporting high-level executives, talent agents, managers, or attorneys
- Polished interpersonal skills with ability to interact confidently with high-profile clients and colleagues
- Proven expertise managing complex scheduling and logistics in fast-paced, client-driven environments
- Exceptional organizational skills with ability to anticipate needs and remain composed under pressure
- Strong discretion and confidentiality capabilities
- Proficiency in Microsoft Word and Outlook; billing and expense systems experience preferred
