Commercial Leasing Assistant

Overview 
Talento has partnered with a real estate investment company with a substantial portfolio of residential buildings and commercial properties in prime New York City locations, seeking a Commercial Leasing Assistant to join their growing team. This position plays a vital role in supporting the leasing department by drafting, tracking, and managing documentation to ensure accurate records, timely execution, and efficient operations across the commercial portfolio. The ideal candidate is highly organized, and able to manage multiple priorities. Responsibilities:

Lease Administration & Document Management
• Draft and proof leases, lease modifications, guarantees, and related legal agreements
• Generate redlines and track document revisions and approvals
• Prepare lease abstracts summarizing critical terms and conditions
• Draft broker agreements and maintain accurate records of commission tracking and payments
• Track lease progress from initial draft through full execution
Portfolio Reporting & Data Tracking
• Maintain up-to-date vacancy reports across all commercial spaces
• Monitor lease commencement and expiration dates and ensure accurate reporting
• Generate lease expiration reports and alert stakeholders of key milestones
• Organize and maintain digital and physical records of leasing documents

Team Support & Cross-Functional Collaboration
• Provide day-to-day administrative support to the leasing team
• Ensure document deadlines and deliverables are met across internal departments and external stakeholders
• Collaborate closely with legal, property management, and finance teams to ensure operational efficiency
• Maintain a high degree of professionalism in written and verbal communications

Requirements 
• College degree required
• 3 years of administrative, legal, or real estate experience preferred
• Proficiency in Microsoft Word and Excel
• Exceptional attention to detail and accuracy
• Strong written and verbal communication skills
• Ability to manage multiple projects and shifting priorities in a deadline-driven environment
• Familiarity with commercial real estate or legal document preparation is a plus
• Highly organized and proactive, with a team-oriented mindset

Salary: $55,000 – $70,000
