Litigation Legal Assistant Newark, NJ – Hybrid

Overview

TalentoHC has partnered with a well-established, full-service law firm with a strong East Coast presence, seeking a detail-oriented and experienced Litigation Legal Assistant. This role is integral to the firm’s litigation practice, providing critical support to attorneys across all phases of litigation. This hybrid position is based in the Newark, NJ office and reports to the Administrative Manager.

Responsibilities

  • Support litigation attorneys through all phases of litigation, including drafting and editing pleadings, motions, discovery responses, subpoenas, and correspondence, adhering to Firm styles and guidelines.
  • Execute electronic filings (E-filing) through Federal, State, and Bankruptcy court systems, handle the service of documents, and maintain legal files in meticulous chronological order.
  • Create and edit Tables of Authorities (TOA) and Tables of Contents (TOC) using Best Authority. Perform hyperlinking for briefs via Lexis and Westlaw and manage PDF bookmarking.
  • Assist attorneys in preparing for trials by organizing exhibits, preparing trial binders, and coordinating logistics for court appearances.
  • Create, edit, and revise complex legal documents with extensive use of Litera Compare and CompareDocs for document conversion, cleanup, and version control.
  • Manage attorney Outlook calendars, coordinate travel and restaurant reservations, sort incoming and outgoing mail, and handle daily administrative tasks.
  • Enter and edit attorney time entries through Intapp Time, process expense reports, and assist with aspects of billing.
  • Perform lite paralegal work and lien interaction, as well as non-legal research as needed.
  • Assist other Legal Assistants as support during absences.

Requirements

  • Minimum of 5 years of law firm experience with a strong emphasis on litigation.
  • Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, Teams), iManage Document Management System, and Kofax Power PDF.
  • Strong familiarity with Best Authority, Litera Compare, Intapp Time, Intapp Billstream, BigHand Dictation, and DocuSign.
  • Exceptional attention to detail, strong organizational skills, and a proven ability to manage a high volume of work in a fast-paced, deadline-driven environment.
  • Strong written and verbal communication skills with the ability to interact professionally with attorneys, support staff, and clients.
  • Flexibility to occasionally arrive early or stay late to meet critical filing or trial deadlines.
  • Holds a current Notary Public commission or is willing to obtain one within the first 6 months of employment.
  • Education: High School Diploma required; Associate’s or Bachelor’s degree preferred.

Base Salary: $80,000 – $110,000 (Commensurate with Experience). This is a non-exempt position; overtime hours are compensated accordingly.
